Information We Collect

Booking Form Data

When you schedule a consultation through our Zoom Scheduler integration, we collect:

• Your name
• Email address
• Phone number (if provided)
• Meeting preferences and availability
• Any additional information you provide in booking forms

Contact Form & Email Communications

When you submit our contact form or email us directly at matt@runtalon.ai, we collect:

• Your name and email address
• Your phone number and organization, if provided
• The content of your message
• Any attachments you send

Resource & Bounded Review Requests

When you request a Talon diagnostic worksheet or a Bounded Evidence-Path Review, we collect:

• Your name, work email, company, and role
• The bounded decision or evidence gap you choose to describe
• Decision timing and the controlled route, stage, or decision type selected in the form
• Your consent to receive the requested resource or response and one relevant follow-up
• Conversion-scoped referral fields attached to the request, such as the originating platform, Talon post ID, campaign, offer, landing page, and referring site origin

These public forms are not intended for financial information, health information (including protected health information or patient-level information), credentials, contracts, confidential customer information, or private architecture. Do not submit that information through them. Talon does not offer this public form path as PHI-capable or represent it as HIPAA-compliant.

The bounded decision text is available only to an authorized Talon reviewer through controlled request storage. It is not copied into routing email and is not sent to behavioral analytics or Attio. Attio receives only the contact identity and controlled source, offer, timing, and attribution fields needed for commercial follow-up.

What We Do Not Intend to Collect or Track

• No tracking cookies: We don't use analytics or tracking cookies
• No behavioral telemetry in the initial organic-social flow: This flow does not run behavioral analytics or telemetry, track browsing behavior across pages or sessions, or use a cross-session identifier; conversion referral fields are recorded only with a form request
• No automatic company matching: Talon does not buy or instruct this form flow to append broker profiles. The controlled Attio handoff disables automatic Company creation or matching. Ambiguous company identity requires human review before any Company association.
• Limited automated screening: Talon applies limited automated screening intended to reject some apparent sensitive content submitted to these public forms. The screening is heuristic and cannot guarantee that sensitive content will be detected or prevented from being submitted. Do not rely on it as a privacy or security control or as a control for PHI or HIPAA compliance.

How We Use Your Information

We use the information we collect solely to:

• Schedule and conduct consultations
• Respond to your inquiries
• Provide the resources or services you've requested
• Route and review a bounded decision request
• Preserve consented source attribution for a request
• Send project-related communications and the relevant follow-up you requested

Data Sharing

We do not sell your data. We may share your information only in these limited circumstances:

• Website hosting: Vercel processes website and serverless-form requests
• Request storage: Neon stores accepted resource and bounded-review requests, consent records, attribution, and delivery obligations
• Email delivery: Resend processes owner notifications and contact-form messages; bounded decision text is excluded from organic-social routing notifications
• Customer relationship management: Attio stores the minimal submitted contact and controlled attribution fields needed for relevant commercial follow-up; bounded decision text is excluded. Automatic Company creation or matching is disabled for this handoff, and ambiguous company identity requires human review.
• Scheduling: Zoom processes information you choose to submit through Zoom Scheduler
• Legal requirements: If required by law or to protect our rights
• Business transfers: In the event of a merger or sale of the company

SMS Communications

If you provide your phone number and check the SMS consent box on our contact form, Talon AI LLC may send you SMS messages related to our services, including follow-ups, appointment reminders, and operational updates.

SMS Program Details

• Message frequency: Message frequency varies based on your inquiry and engagement.
• Costs: Message and data rates may apply depending on your mobile carrier and plan.
• Opt-out: Reply STOP at any time to stop receiving SMS messages. You will receive a one-time confirmation message.
• Help: Reply HELP for help. You can also email matt@runtalon.ai.
• No sharing: Your phone number will not be sold, rented, or shared with third parties or affiliates for their marketing purposes.
• Consent not required: SMS consent is not required to purchase our services or receive email communications.

Data Security

We implement appropriate security measures to protect your information:

• All data transmission is encrypted (HTTPS)
• Email communications are handled through secure providers
• Access to your information is limited to authorized personnel only
• We regularly review and update our security practices

Data Retention

We retain your information only as long as necessary:

• Consultation booking data: Until the meeting is complete and follow-up is finished
• Project-related communications: For the duration of the project plus 2 years
• General inquiries: Until resolved

For the initial organic-social request flow, these maximums govern ordinary application records held in the Neon database:

• Bounded free-text request details: Up to 90 days
• Resource and bounded-review identity, consent, and source-attribution records, together with related database delivery obligations: Up to 24 months, unless you request deletion or the record becomes subject to a separately approved active-customer retention policy
• Server-recorded conversion events: Up to 13 months
• Operational failure records: Up to 90 days and designed not to contain form text
• Verified-deletion tombstones: After a verified deletion request, the request system retains a one-way, secret-keyed email marker and opaque receipt markers without the raw email or request details. These durable tombstones prevent deleted delivery work or a later submission from silently recreating the deleted record. They are distinct from communication withdrawal and are not removable by an administrator acting alone.
• Communication withdrawal: Withdrawal is scoped to the affected channel and remains effective until the person gives new, explicit consent for that channel. A fresh affirmative-consent event is required before re-entry; an administrator cannot unsuppress the person without that consent evidence.

Neon's point-in-time restore history for this Production database is configured for seven days. Deletion from the active application tables may therefore remain recoverable within that bounded window; Talon does not promise immediate removal from every recoverable copy. The preserved TAL-409 recovery snapshot predates customer traffic. Talon will not retain indefinite post-traffic snapshots without an approved lifecycle and deletion date.

These Neon application-record maximums do not automatically govern downstream copies. Resend retains sent-email data under its service retention rules (ordinarily 30 days unless a different contracted setting applies). Attio retains customer-uploaded data under Talon's instructions and its applicable service terms; account termination may include a retrieval/deletion window and legal exceptions. Vercel runtime-log availability depends on the account plan, while build logs and any configured drains have separate lifecycles. Talon minimizes provider payloads, does not configure a long-term log drain for this flow, and reconciles provider deletion or expiry separately rather than claiming that active-database deletion immediately removes every processor or recovery copy.

Your Rights

You have the right to:

• Request access to your personal information
• Request correction of inaccurate information
• Request deletion of your information
• Withdraw consent for communications

Verified deletion and communication withdrawal are separate actions. A withdrawal applies only to the affected communication channel and remains in force until you provide new explicit consent for that channel. A new form submission by itself does not override a withdrawal or verified-deletion tombstone. Re-entry requires fresh consent evidence and cannot be performed by an administrator alone.

Third-Party Services

Zoom Scheduler

Our booking system is powered by Zoom Scheduler (Zoom Video Communications, Inc.). Their privacy statement governs data collected through the booking process. We recommend reviewing it at zoom.us/privacy.

Vercel, Neon, Resend, and Attio

We use Vercel for website hosting and serverless processing, Neon for controlled request storage, Resend for email delivery, and Attio for customer relationship management. Each provider processes information only for the purpose described above and under its own privacy and security terms.

Children's Privacy

Our services are not intended for individuals under 18. We do not knowingly collect personal information from children under 18.

Changes to This Policy

We may update this Privacy Policy periodically. Changes will be posted on this page with an updated "Last Updated" date. We'll notify you of significant changes via email if you've provided one.
